PRIVACY & DATA PROTECTION POLICY
Introduction
Perfect Yachts SMPC is a leading yacht management, chartering, repair and maintenance company located in the harbour of Lavrio – Sounio, 19500, Attica, Greece. You can access and browse our website without disclosing any personal data; however, to transact with us and to request and receive our services, you will need to provide certain information.
Confidentiality and data protection matter to us, and we are committed to protecting your data and meeting all our obligations under Greek and EU data protection and privacy law. You have the right to be informed of the data we hold about you, and to modify, deactivate or erase your data record at any time by contacting privacy@perfectyachts.gr.
The personal data we collect
We collect the personal data you provide to us while using our services — for example, through email communications, forms and your online account. This collection is necessary for us to provide our services to you. Depending on the service, the data may include: your contact details, nationality, languages spoken, images and gender, profession, address of residence, bank account details (for processing payments), food preferences or dietary requirements, your account login details (with any password held in encrypted form) and the preferences and booking history stored in your account, and credit card details provided on a signed authorisation form for the sole purpose of processing your security deposit and charter-related charges (see “Payments and security deposits” below).
We also keep a record of our contact history with you, including past expressions of interest in our services and your marketing preferences.
Please note that our website uses cookies. Some data may therefore be collected automatically when you visit, such as your IP address, location, language and device settings, time of use, URL requested, status report, operating system, browsing history and the type of content viewed. We also use cookies to keep you logged in to your account and to remember your preferences. You can find our full cookie policy [here — insert link].
Your account
When you create an account on our website, we collect and store the information needed to set it up and manage it — your name, email address, a password (held in encrypted form), and any details you choose to add to your profile. Your account also keeps a record of your bookings, enquiries, saved yachts and preferences, so we can serve you better and save you re-entering information each time.
You are responsible for keeping your login details confidential. We will never ask you for your password by email or phone. You can access, update or correct your account information at any time by logging in, and you may close your account whenever you wish by [contacting us / using your account settings], after which we will delete or anonymise your account data, subject to any information we must retain by law (for example, transaction records).
Payments and security deposits
To process your security deposit and any amounts due during your charter (such as APA or damages), we ask you to complete and sign a credit card authorisation form. The card details on this form are used only to process the authorised amounts through the POS terminal at our base, and are held only for the limited period necessary to complete these transactions. They are not stored in our general customer database, and the form is securely destroyed once it is no longer needed for that purpose [ideally state a period, e.g. “within 30 days of the charter ending”].
How and why we use your data
We process your data to:
- create and manage your online account and provide its features (legal basis: performance of our contract with you / your consent);
- identify you when entering into a service agreement, on your arrival, and during your charter or the provision of our services (legal basis: performance of our contract with you);
- fulfil our contractual obligations and ensure you enjoy a safe and pleasant charter, or a professional repair and maintenance of your yacht;
- comply with legal and regulatory requirements (legal basis: legal obligation);
- where you have given consent, keep you informed about new services, newly available yachts, charter offers, events and destination ideas, through personalised communication or our newsletter (legal basis: your consent).
Please remember to tick the relevant consent box when expressing interest, otherwise you may miss important information. You may withdraw your consent at any time.
Your data is stored on a secure, confidential database accessible only by members of the Perfect Yachts SMPC management team. Where required by applicable law, your data may be disclosed to the Authorities (such as the Port Authorities) and, where relevant, to yacht owners.
We retain transaction-related data for five (5) years after collection or after our last transaction with you, unless a longer period is required for the services provided (in particular repair and maintenance), by law, or to protect our legitimate interests. Data collected for marketing purposes is held until you unsubscribe or ask us to delete it.
Your rights
Under the GDPR, you have the right to:
- access the data we hold about you;
- rectify inaccurate or incomplete data;
- erase your data (“right to be forgotten”);
- restrict or object to our processing of your data;
- data portability (receive your data in a structured, commonly used format);
- withdraw your consent at any time, where processing is based on consent.
To exercise any of these rights, contact us at privacy@perfectyachts.gr. On receipt of your written request, we will provide a readable copy of your data record; we may ask for proof of identity, and we aim to respond within [10 working days — note the GDPR maximum is one month]. If you are unhappy with how we have handled your data, you may complain to the Hellenic Data Protection Authority at www.dpa.gr or any other competent authority under the GDPR.
Deleting your data record
You can ask us to delete all the data we hold about you at any time. Once deleted, we no longer hold a record of you. Please allow ten working days for deletion to be completed.
Data security and integrity
We store your personal data on a secure, confidential database accessible only by the Perfect Yachts SMPC team. Account passwords are held in encrypted (hashed) form. All employees involved in processing personal data are contractually bound to keep it confidential. We will not disclose your personal data to state institutions or authorities except where required by law or regulation. Perfect Yachts SMPC will never send unsolicited emails asking you to disclose your username, password or other security details.
Disclosure to third parties
Perfect Yachts SMPC will never provide your personal data to third parties other than those described in this policy, unless required by law or necessary for your own safety.
